Stop Churn Before It Starts: Meet the Renewal Playbook Agent

Most SaaS companies treat renewals as a defensive scramble. They wait until 30 days before a contract expires, check the usage logs, and hope for the best. If there's a new stakeholder or a lingering support issue, they find out when it's already too late to pivot.

We built the Renewal Playbook Agent to turn renewals from a stressful obligation into a strategic growth opportunity. It’s an n8n-powered worker that proactively builds your defense and offense long before the renewal date hits.

What is the Renewal Playbook Agent?

The Renewal Playbook Agent is an autonomous account strategist. It triggers automatically (typically 90, 60, and 30 days before a contract ends) to perform a deep-dive audit of an account’s health.

Instead of just giving you a "green/yellow/red" status, it generates a comprehensive renewal playbook. This includes a risk assessment, a week-by-week engagement timeline, and specific expansion strategies tailored to that customer's unique usage patterns.

How It Works: Data-Driven Account Intelligence

This agent doesn't just guess at account health—it builds a forensic case for renewal:

  • The Brain (Gemini 2.5 Pro): Acting as a senior Account Management Lead, the agent analyzes everything from NPS scores to seat utilization and stakeholder changes.
  • The Memory (Pinecone): The agent pulls from a shared deal-history index. It looks at the original reason the deal was won, past expansion conversations, and even support ticket history to see if there is "negotiation ammo" the customer might use against you.
  • The Playbook Generator: It produces a structured action plan that includes:
    • Risk Analysis: Flags new stakeholders (like a new VP of Finance) who haven't been engaged.
    • Expansion Mapping: Recommends specific upgrades or seat additions based on actual usage signals.
    • The Talk Track: Provides the exact messaging for the renewal call, re-anchoring the conversation on the value delivered over the past year.
  • Multi-Channel Delivery: The playbook is logged in Google Sheets for leadership and emailed directly to the Account Manager and CSM via Gmail.

Why It Matters for Revenue Teams

  1. Proactive vs. Reactive: You stop chasing renewals and start leading them. By starting 90 days out, you have time to resolve support escalations or win over new decision-makers.
  2. Uncover Expansion Revenue: The agent identifies upsell signals (like high utilization or specific feature requests) that a busy AM might overlook.
  3. Institutional Memory: It ensures the renewal strategy is based on the full history of the account—not just the last three months.
